1. About This Privacy Policy
The Australia–International Collaborative Research Organisation (AICRO) respects the privacy of researchers, professionals, representatives of organisations, event participants, workshop participants, instructors, applicants, website visitors and other individuals who interact with AICRO.
This Privacy Policy explains how AICRO collects, holds, uses, discloses, protects and manages personal information in connection with the AICRO website, AICRO Research Network, grant and funding opportunities, Collaboration Events, Grant-Writing Workshops, instructor expressions of interest, Consortium Development, Research Project Management, professional services, institutional and organisational engagements, project and collaboration enquiries, payments, registrations and other AICRO programs and activities.
Where applicable, AICRO handles personal information in accordance with relevant Australian privacy laws and requirements, including the Privacy Act 1988 (Cth), the Australian Privacy Principles (APPs), the Health Records and Information Privacy Act 2002 (NSW) (HRIP Act) where applicable, the Privacy and Personal Information Protection Act 1998 (NSW) (PPIP Act) where applicable, and other applicable Commonwealth, State or Territory privacy, health-information and data-protection requirements.
The application of particular legislation depends on AICRO's legal status, activities, the information involved and the circumstances in which that information is collected, held, used or disclosed.
2. Personal Information We May Collect
The personal information AICRO collects depends on how you interact with us. Information may include your name, email address, telephone number, country or general location, professional position or title, employer, university, institution or organisation, education and professional qualifications, professional experience, research disciplines and areas, areas of expertise, research keywords, professional biography, research and collaboration interests, countries or sectors of collaboration interest, ORCID, Google Scholar profile, LinkedIn profile, institutional or professional profile links, grant-writing and research-funding experience, teaching and workshop experience, CVs, résumés and supporting documents, workshop proposals, event and workshop registration information, consortium and project enquiry information, information relating to funding opportunities and research projects, payment and transaction information, billing information, communication preferences, consent and declaration records, correspondence with AICRO and technical information associated with use of AICRO's website and online services.
AICRO may collect other personal information where it is reasonably necessary for an activity or service.
3. Sensitive Information
Some categories of personal information receive additional protection under Australian privacy law. Sensitive information may include information concerning health, racial or ethnic origin, political opinions, religious beliefs, professional or trade association membership, sexual orientation, criminal records and certain biometric information.
AICRO generally does not seek sensitive information unless it is reasonably necessary for a particular activity and its collection is permitted by applicable law. Where consent is legally required, AICRO will seek appropriate consent.
Individuals should avoid including unnecessary sensitive or confidential information in free-text fields, CVs, applications, project enquiries or other submissions.
4. Health Information
AICRO does not generally require personal health information to operate its Research Network, instructor applications, general workshops or ordinary professional services. Health information may nevertheless arise where an individual voluntarily provides health-related information, accessibility requirements are provided for an event or workshop, an activity involves health or medical research, a professional-services activity involves health information, or AICRO otherwise collects, holds or uses information to which applicable health-information legislation applies.
Where the Health Records and Information Privacy Act 2002 (NSW) applies, AICRO will handle relevant health information in accordance with applicable requirements, including the Health Privacy Principles.
Individuals should not provide AICRO with patient information, medical records, identifiable research-participant information or other health information unless it is necessary for the relevant activity and they are authorised to provide it.
5. NSW Privacy Requirements
AICRO operates in New South Wales and recognises applicable NSW privacy protections. The Privacy and Personal Information Protection Act 1998 (NSW) principally regulates NSW public-sector agencies and other entities within its legislative scope. The Health Records and Information Privacy Act 2002 (NSW) regulates health information and may apply to private-sector organisations that collect, hold or use health information.
Where NSW privacy or health-information legislation applies to an AICRO activity, AICRO will handle relevant information in accordance with applicable requirements. AICRO may also be required to comply with privacy, confidentiality, information-security or data-handling obligations contained in agreements with universities, healthcare organisations, government bodies, research institutions and other organisations.
6. How We Collect Personal Information
AICRO generally collects personal information directly from you when you join the Research Network, create or update a professional profile, register for an event or workshop, submit an instructor expression of interest, upload a CV or supporting document, propose a workshop, submit a Consortium Development or Research Project Management enquiry, request another professional service, enquire about a grant or funding opportunity, subscribe to communications, make a payment, complete an AICRO form, contact AICRO, participate in an AICRO activity or otherwise interact with AICRO.
Where permitted, AICRO may also obtain professional information from publicly available professional sources, organisations with which you are associated, referrals, professional directories, collaboration partners and service providers.

8. AICRO Research Network
Research Network members may provide information about their professional position, organisation, research areas, expertise, professional profile and collaboration interests. Depending on the visibility settings selected by the member and the functionality provided by AICRO, profile information may be accessible to the member, authorised AICRO personnel, other Research Network members or the public.
AICRO will seek to make profile-visibility options clear. Information designated for AICRO use only will not intentionally be published as part of a public profile.
Joining the Research Network does not guarantee collaboration, introductions, funding, project participation or any other particular outcome.
9. Instructor Expressions of Interest
Instructor applicants may provide contact information, position and organisation information, professional experience, years of experience, professional biography, expertise, funding-scheme and grant experience, teaching and workshop experience, proposed workshop topics, availability, professional profile links, a CV or résumé, supporting documents, declarations and consents.
AICRO may use this information to assess suitability, consider applicants for current or future opportunities and communicate about potential engagements. Submitting an expression of interest does not guarantee selection, employment or engagement.
10. Events and Workshops
When you register for or participate in an AICRO event or workshop, AICRO may collect information necessary for registration, attendance, participant communication, delivery of materials, payments, refunds, feedback and related administration.
Where photography, video or audio recording is proposed, AICRO will provide appropriate information and obtain consent where required.

Individuals should not provide confidential third-party information unless authorised to provide it. Specific professional engagements may be subject to additional confidentiality and information-handling arrangements.
12. Payment Information and Stripe
AICRO may use Stripe as a third-party payment service provider for eligible online payments when this facility is available. When you make a payment through AICRO, payment information may be collected and processed directly by Stripe.
Depending on the transaction, information processed may include your name, email address, billing details, payment method information, transaction amount, payment status, transaction identifiers and information used for fraud prevention, authentication and payment security.

AICRO may receive limited payment and transaction information from Stripe for confirming registrations and purchases, providing paid services, processing refunds, maintaining transaction records, accounting and reconciliation, resolving payment enquiries, fraud prevention and complying with legal or regulatory obligations.
Stripe processes personal information in accordance with its own privacy, security and contractual arrangements. Users should review Stripe's applicable privacy information for further information about Stripe's handling of personal information.

AICRO may disclose personal information where reasonably necessary to website and hosting providers, cloud and database providers, Stripe and other payment-related providers, communications providers, professional advisers, contractors and consultants, event and workshop providers, organisations involved in delivering a relevant service, collaboration participants where authorised and appropriate, regulators or government authorities where required or authorised by law, and other parties with your consent.
AICRO does not sell personal information.
Where a research introduction requires disclosure of non-public personal information, AICRO will seek appropriate permission where required.
14. Third-Party Service Providers
AICRO may use third-party systems for website hosting, databases, cloud storage, file uploads, forms, authentication, email, communications, event administration, Stripe payment processing, analytics, cybersecurity and business administration.
These providers may process personal information in accordance with their applicable contractual arrangements, privacy policies and legal obligations.
15. Overseas Disclosure and Processing
AICRO operates in an international research environment and may use service providers or interact with organisations located outside Australia. Personal information may therefore be disclosed to, processed in or accessible from overseas locations. This may include information processed through international technology and payment infrastructure, including Stripe.
Where applicable law requires it, AICRO will take reasonable steps concerning overseas disclosures and, where practicable and required, identify the countries in which relevant overseas recipients are likely to be located.
AICRO will review its actual service-provider arrangements and update this Privacy Policy where necessary.
16. Website, Cookies and Analytics
When you use the AICRO website, certain technical information may be collected automatically, including your IP address, browser, device information, operating system, pages viewed, referring website, date and time of access, website interactions and cookie or similar technology information.
AICRO may use cookies and analytics technologies to operate and secure the website, understand usage, diagnose technical issues and improve functionality. Additional cookie information or choices will be provided where required.
17. Communications and Direct Marketing
Where permitted, AICRO may communicate with individuals about research opportunities, funding opportunities, collaboration opportunities, events, workshops, Research Network activities, professional services and related AICRO activities.

Measures may include access controls, authentication, technical safeguards, organisational procedures, service-provider controls and security monitoring.
No internet transmission or electronic storage system can be guaranteed to be completely secure.
19. Data Breaches
If AICRO becomes aware of a suspected data breach, it will assess and respond to the incident in accordance with applicable law.
Where the Commonwealth Notifiable Data Breaches scheme applies and an eligible data breach occurs, AICRO will comply with applicable notification obligations. Where NSW health-information legislation or another applicable regime imposes additional requirements, AICRO will respond accordingly.
20. Retention and Deletion
AICRO retains personal information for as long as reasonably necessary for the purpose for which it was collected, administration, service delivery, contractual obligations, dispute resolution, financial records and applicable legal or regulatory requirements.
Different retention periods may apply to Research Network profiles, instructor applications, event and workshop registrations, project enquiries, contracts, financial records and correspondence.
When personal information is no longer reasonably required, AICRO will take reasonable steps to destroy or de-identify it where appropriate and legally permitted.
21. Access to Personal Information
You may request access to personal information AICRO holds about you. AICRO may need to verify your identity before providing access.
Access may be refused or limited where permitted by applicable law. Where required, AICRO will explain the basis for its decision.
Requests should be sent to research@aicro.au.
22. Correction of Personal Information
AICRO seeks to maintain personal information that is accurate, complete and current. You may request correction if you believe information held about you is inaccurate, incomplete, out of date, irrelevant or misleading.
Research Network members may also be able to update certain profile information through their accounts.
Correction requests should be sent to research@aicro.au.

AICRO's Research Network, professional services and instructor opportunities are primarily intended for adults and professional users.
Where AICRO conducts an activity involving children or young people, appropriate privacy, safeguarding and consent arrangements will be implemented where required.
26. Automated Processing and Decision-Making
AICRO may use technology to assist with search, filtering, matching, categorisation, profile management, opportunity identification and application administration.
Where applicable privacy law requires AICRO to disclose information about computer programs using personal information to make, or substantially and directly assist in making, decisions that could reasonably be expected to significantly affect an individual's rights or interests, AICRO will provide the information required by law.
AICRO will update this Privacy Policy where its use of automated decision-making requires additional disclosure.
27. Changes to This Privacy Policy
AICRO may update this Privacy Policy from time to time to reflect changes in AICRO services, technology, Stripe or other service-provider arrangements, information-handling practices or applicable legal requirements.
The current version will be published on the AICRO website with the date on which it was last updated.
