1. About These Terms
These Terms & Conditions govern use of the website, Research Network, events, workshops and other services provided by the Australia–International Collaborative Research Organisation (AICRO).
By using an applicable AICRO service, creating an account, registering for an event or workshop, submitting an application or enquiry, or purchasing a service, you agree to the terms applicable to that interaction.
Some services may also be governed by additional registration conditions, quotations, proposals, statements of work, service agreements, instructor agreements or other written terms. Where specifically agreed terms conflict with these general Terms, the specifically agreed terms will prevail for that engagement to the extent of the inconsistency.
Nothing in these Terms excludes, restricts or modifies rights or remedies that cannot lawfully be excluded, restricted or modified.
2. About AICRO
AICRO supports multidisciplinary and international research collaboration by connecting researchers, organisations, expertise and opportunities and by providing research-development services.
AICRO activities may include Research Network services, grant and funding information, Collaboration Events, Grant-Writing Workshops, Consortium Development, Research Project Management, instructor engagements, research collaboration activities and other professional services.
3. Website Use
You must use the AICRO website lawfully. You must not attempt unauthorised access, interfere with website security, introduce malicious code, impersonate another person or organisation, deliberately provide false or misleading information, infringe intellectual-property or privacy rights, improperly harvest user information, use AICRO information for harassment or spam, systematically scrape the website without authorisation, or commercially exploit AICRO content without permission or another lawful basis.
4. Accounts
Where an account is required, you are responsible for providing accurate information, keeping information reasonably current, protecting your credentials, maintaining password confidentiality and notifying AICRO of suspected unauthorised access.
AICRO may require reasonable identity, professional or organisational verification for particular services.
5. Research Network
The AICRO Research Network supports professional visibility, opportunity discovery and research collaboration. Members may provide professional profiles containing information about their organisation, position, research areas, expertise, professional biography, collaboration interests and professional links.
Members are responsible for information they submit and must have authority to provide it. AICRO may remove unlawful, misleading, inappropriate or infringing content.
6. No Guarantee of Opportunities
Joining the Research Network or participating in an AICRO activity does not guarantee researcher introductions, collaboration, project participation, consortium membership, funding opportunities, successful funding, institutional partnerships or other particular outcomes.
Independent researchers and organisations make their own participation and collaboration decisions.
7. Grant and Funding Information
AICRO may provide information concerning grants and funding opportunities. Users remain responsible for checking authoritative funding-body information, including eligibility, guidelines, deadlines, funding amounts, assessment criteria and application requirements.
Funding programs may change without AICRO's control. AICRO does not control funding-body decisions and does not guarantee funding outcomes.
8. Collaboration Events
AICRO may organise online, in-person and hybrid Collaboration Events. Individual events may have conditions relating to eligibility, invitation status, registration, fees, capacity, participation, conduct, photography, recording, cancellation and rescheduling.
Registration or expression of interest does not guarantee admission where participation is subject to eligibility, selection or capacity.
9. Participant Affiliations
A participant's attendance at an AICRO activity does not by itself mean their employer, university or organisation sponsors AICRO, endorses AICRO, formally partners with AICRO or endorses statements made by other participants.
Formal partnerships or sponsorships will be identified separately where applicable.
10. Grant-Writing Workshops
AICRO provides professional-development workshops covering topics that may include ARC, NHMRC, MRFF, CRC and CRC-P, Australian Government grants, international funding, collaborative grants, research impact and translation, proposal development, budgeting, project planning and related research-development topics.
Workshop content is educational and professional-development material. Participation does not guarantee funding success.
11. Workshop Information and Changes
AICRO will seek to provide accurate information regarding workshop topics, instructors, dates, times, formats, fees and registration status. AICRO may make reasonable changes where necessary.
Where a material change affects a registered participant, AICRO will communicate the change and provide applicable remedies required by law or the applicable booking terms.
12. Individual Registration
Individual workshop and event fees may vary. The applicable price will be displayed or communicated before purchase.
Unless otherwise stated, registration is confirmed when required payment has been successfully completed and AICRO has confirmed registration.
13. Group Registration
AICRO may provide group discounts for participants attending the same scheduled workshop. Applicable discounts and eligibility conditions will be displayed or communicated before registration.
Unless otherwise stated, discounts cannot be combined. Large groups may be offered a customised organisation workshop.
14. Customised Organisation Workshops
AICRO may provide customised workshops for universities, research institutions, healthcare organisations, companies, research teams and other organisations.
These workshops are separately scoped and priced. Pricing may depend on the subject, duration, number of participants, preparation requirements, customisation, instructor, format, location and travel requirements.
A separate quotation, proposal or agreement may apply.
15. Workshop Instructors
AICRO may engage appropriately experienced instructors. Instructor qualifications and expertise will depend on the relevant workshop.
An instructor's professional commentary does not necessarily represent an official AICRO position.
16. Instructor Expressions of Interest
An instructor expression of interest is not an employment offer, does not establish employment, does not guarantee selection, does not guarantee engagement and does not guarantee payment.
Selected instructors may enter into separate written terms covering scope, preparation, responsibilities, delivery, fees, payment, expenses, intellectual property, confidentiality, recording, cancellation and rescheduling.
17. Consortium Development
Consortium Development is a professional AICRO service. Depending on the agreed scope, AICRO may assist in understanding collaboration requirements, identifying expertise gaps, identifying potential researchers or organisations, facilitating introductions and supporting consortium development.
Each engagement is separately scoped and priced according to project requirements, complexity and the level of support required.
18. No Guarantee of Consortium Outcome
Consortium Development does not guarantee identification of a particular collaborator, acceptance of an introduction, consortium formation, participation by a particular organisation, execution of an agreement, submission of a grant, funding or project success.
19. Research Project Management
AICRO may provide Research Project Management and related professional services. The scope, responsibilities, deliverables, fees and timing may be documented in a separate proposal, statement of work or agreement.
AICRO is responsible only for services within the agreed scope, subject to applicable law.
20. Professional Services
Professional services may be subject to separate proposals, quotations, statements of work, service agreements or engagement terms.
These documents may address scope, deliverables, responsibilities, timing, fees, payment, expenses, dependencies, changes, confidentiality, intellectual property, liability and termination.
21. Client Responsibilities
Professional-service clients are responsible for supplying reasonably accurate information, providing information within required timeframes, obtaining necessary internal approvals, having authority to provide information, reviewing deliverables where required and completing responsibilities allocated to them under the engagement.
22. Fees and GST
AICRO fees may include workshop fees, event fees, organisation workshop fees, Consortium Development fees, Research Project Management fees and other professional-service fees.
Prices are in Australian dollars (AUD) unless otherwise stated. Where GST applies, the applicable GST treatment will be identified on the relevant registration, checkout, quotation, invoice or receipt.
23. Stripe Payment Processing
AICRO may use Stripe as a third-party payment service provider for eligible online transactions when this facility is available. Payment information may be submitted directly to Stripe for processing.
Where Stripe-hosted or Stripe-integrated payment functionality is used, AICRO does not ordinarily receive or store complete payment-card numbers.
AICRO may receive transaction information including customer name, contact details, billing information, transaction amount, payment status, transaction reference and payment method type.
Stripe's applicable terms and privacy practices also govern Stripe's processing activities.
24. Payment
Depending on the service, AICRO may require payment at registration, advance payment, a deposit, milestone payments, payment following invoice or another agreed arrangement.
A payment is considered successfully completed when the relevant payment processor has accepted the transaction and AICRO has received confirmation.
If a transaction is declined, reversed or otherwise unsuccessful, AICRO may require another valid payment method before providing the applicable paid service.
25. Payment Security
Users must be authorised to use the payment method they provide. Payment-card information submitted through Stripe is processed using Stripe's payment infrastructure.
AICRO does not ordinarily store complete payment-card details in its own database where those details are submitted directly to Stripe.
26. Currency and External Charges
Prices are in Australian dollars unless otherwise stated. Banks, card issuers or payment providers may independently impose currency-conversion charges, foreign transaction fees or other charges.
Such independently imposed charges are not AICRO fees and are the responsibility of the customer.
27. Cancellations, Transfers and Refunds
For scheduled Events and Workshops, the Event & Workshop Registration, Cancellation, Transfer and Refund Policy below sets out the standard conditions. A particular activity may have different terms expressly stated at registration. Customised organisation activities and professional services may be governed by specifically agreed terms.
Nothing in these Terms limits any right or remedy that cannot lawfully be excluded.
28. Stripe Refunds
Where AICRO approves or is required to provide a refund for a payment originally processed through Stripe, AICRO will ordinarily process the refund through the original payment method where practicable.
The time required for a refund to appear after AICRO initiates it may depend on Stripe, the customer's payment method, bank or financial institution.
Nothing in this section limits applicable statutory refund rights.
29. Cancellation or Rescheduling by AICRO
AICRO may need to cancel or reschedule an event or workshop because of instructor unavailability, illness, insufficient registrations, venue issues, technology problems, travel disruption, safety concerns or circumstances outside AICRO's reasonable control.
AICRO will take reasonable steps to notify affected participants and provide appropriate alternatives or remedies having regard to applicable booking terms and law.
30. Australian Consumer Law
AICRO services may be subject to statutory rights and guarantees under the Australian Consumer Law.
Nothing in these Terms is intended to exclude, restrict or modify any consumer guarantee, statutory right, statutory remedy or other right or liability that cannot lawfully be excluded, restricted or modified.
Where the law permits AICRO to limit a remedy or liability, any limitation applies only to the extent legally permitted.
31. Information and Educational Content
Unless specifically agreed otherwise, general website information, events, workshops and communications are provided for research, collaboration, informational and professional-development purposes.
They do not constitute legal, financial, tax, accounting or medical advice and do not constitute a guarantee of a funding decision. Users should obtain specialist advice where appropriate.
32. No Funding Guarantee
AICRO does not guarantee grant success, funding-body acceptance, a particular assessment result, consortium funding, commercialisation success or any other particular funding outcome.
Funding decisions remain with independent funding bodies.
33. Third-Party Information
AICRO may provide information originating from funding bodies, universities, government agencies, instructors, researchers and other third parties.
Users should verify significant information with the relevant authoritative source before relying on it for eligibility, deadlines, applications or other material decisions.
34. Third-Party Websites and Services
AICRO may link to external websites and services, including Stripe. AICRO does not control independent third-party services and is not responsible for their independent content, availability, privacy practices or security.
35. User-Submitted Content
Users must have the right to submit content provided to AICRO. Users must not knowingly provide material that infringes another person's rights, is unlawful, defamatory or materially misleading, or contains confidential information they are not authorised to disclose.
36. Intellectual Property
Unless otherwise stated, intellectual property in AICRO-created website content and materials is owned by or licensed to AICRO. This may include text, branding, graphics, designs, reports, templates, workshop materials and event materials.
Users must not reproduce, publish, sell, distribute or commercially exploit AICRO intellectual property without permission except where permitted by law.
37. Instructor and Third-Party Materials
Instructors and other contributors may retain intellectual-property rights in their own materials. Ownership and permitted use may be addressed in the applicable instructor or service agreement.
Workshop participation does not automatically permit participants to reproduce, publish, distribute, sell or commercially exploit workshop materials.
38. Confidentiality
Some professional engagements and collaboration activities may involve confidential research, project, commercial or organisational information. Specific confidentiality obligations may be documented in a separate agreement.
Users must not provide third-party confidential information unless authorised to do so.
39. Privacy
AICRO handles personal information in accordance with its Privacy Policy and applicable privacy requirements. The Privacy Policy should be read together with these Terms.
40. Photography and Recording
AICRO may photograph or record selected events and workshops. Where applicable, participants will be provided with appropriate information and consent will be obtained where required.
Participants must not make unauthorised recordings where doing so is prohibited or infringes another person's rights.
41. Testimonials and Case Studies
AICRO may publish testimonials, case studies, participant profiles and collaboration examples where appropriate. Permission will be obtained where required for identifiable personal information, quotations, photographs or other protected material.
Past outcomes do not guarantee equivalent future outcomes.
42. Acceptable Conduct
Participants in AICRO networks, events, workshops and collaboration activities must behave professionally and respectfully.
AICRO may take proportionate action in response to harassment, discrimination, threats, abusive conduct, deliberate disruption, misuse of participant information, unlawful behaviour or serious breaches of participation conditions.
43. Suspension or Termination
AICRO may suspend or terminate access where reasonably necessary because of a serious or repeated breach of these Terms, unlawful activity, fraud, security concerns, misuse of AICRO systems or material risk to other users.
Applicable contractual and statutory rights will continue to apply.
44. Service Availability
AICRO does not guarantee uninterrupted website availability. Services may be interrupted because of maintenance, technical issues, cybersecurity incidents, telecommunications problems, third-party failures or circumstances outside AICRO's reasonable control.
45. Liability
To the maximum extent permitted by law, AICRO is not responsible for loss to the extent caused by decisions of independent funding bodies, decisions of researchers, institutions or collaboration partners, conduct of independent third parties, materially inaccurate information supplied by a user, unauthorised or improper use of AICRO services or circumstances outside AICRO's reasonable control.
Nothing in these Terms excludes, restricts or modifies liability, guarantees, rights or remedies that cannot lawfully be excluded, restricted or modified.
Specific professional-service agreements may contain additional legally permissible liability provisions.
46. Events Outside Reasonable Control
Neither party will be responsible for failure or delay to the extent caused by circumstances outside that party's reasonable control, subject to applicable law.
Such circumstances may include natural disasters, severe weather, public-health emergencies, government restrictions, infrastructure failure or major technology disruption.
This provision does not remove statutory rights that cannot lawfully be excluded.
47. Changes to These Terms
AICRO may update these Terms to reflect changes in services, website functionality, payment arrangements, technology, operations or legal requirements.
The current version will be published with its last-updated date. Material changes will apply prospectively unless otherwise permitted or required by law.
Existing separately contracted engagements remain subject to their applicable agreed terms.
48. Severability
If a provision is invalid or unenforceable, it will be interpreted or severed to the extent necessary, and the remaining Terms will continue where legally possible.
49. No Waiver
A failure or delay in exercising a right does not by itself waive that right.
50. Governing Law
These Terms are governed by the laws applicable in New South Wales, Australia.
Subject to jurisdictional rights that cannot lawfully be excluded, the parties submit to the courts of New South Wales and courts entitled to hear appeals from those courts.
51. Contact AICRO
Questions concerning these Terms & Conditions can be directed to the Australia–International Collaborative Research Organisation (AICRO), ABN 54 663 441 870, by email at research@aicro.au, by telephone on +61 411 105 535, or through aicro.au.
52. Related Policies and Specific Terms
These Terms should be read together with AICRO's Privacy Policy and the Event & Workshop Registration, Cancellation, Transfer and Refund Policy below.
Specific event conditions, instructor agreements, Consortium Development agreements, Research Project Management agreements and other professional-service terms may also apply where provided before the relevant transaction or engagement.
Event & Workshop Registration, Cancellation, Transfer and Refund Policy
These terms apply to registrations for AICRO workshops, research collaboration events, roundtables, forums, masterclasses, professional-development activities and other scheduled events or learning activities offered by AICRO ("Events and Workshops").
They apply to individual and group registrations unless different terms are expressly stated for a particular Event or Workshop.
Customised organisation workshops, privately commissioned events and other organisation-specific activities may be subject to a separate quotation, proposal, booking confirmation or agreement.
1. Registration
Before registering, participants are responsible for reviewing the relevant Event or Workshop information, including its description, date, time, time zone, delivery format, location, participation requirements, fees and any eligibility conditions.
Participants must provide current, complete and accurate information during registration.
AICRO may communicate registration confirmations, payment information, joining instructions, program updates, changes and other important information using the email address supplied during registration.
Submission of a registration does not necessarily guarantee participation where an Event or Workshop:
- has limited capacity;
- is invitation-only;
- is subject to eligibility requirements;
- requires AICRO approval;
- involves participant selection; or
- is otherwise identified as requiring confirmation.
AICRO may reasonably decline a registration where participation requirements are not satisfied, capacity has been reached, required payment has not been made or participation cannot otherwise reasonably be accommodated.
If AICRO declines a registration after receiving payment, the applicable payment will be refunded.
2. Fees and GST
All AICRO Event and Workshop fees are quoted in Australian dollars (AUD) and exclude GST unless otherwise stated.
Where applicable, 10% GST will be added to the amount payable.
The applicable fee is the fee displayed or otherwise agreed at the time of registration, subject to any applicable group discount or other agreed pricing arrangement.
3. Payment and Tax Invoices
Payment must be made using a payment method made available by AICRO.
Available payment methods may include online payment through an approved payment provider, payment against an AICRO tax invoice, electronic funds transfer or another method approved by AICRO.
Where payment is required before participation, AICRO may withhold access to the Event or Workshop until the applicable fee has been paid.
Where available, participants or organisations may generate or request an AICRO tax invoice using the billing information supplied during registration.
Issuing a tax invoice does not constitute confirmation that payment has been received.
4. Cancellation Within 24 Hours of Registration
A participant or payer who changes their mind may request cancellation within 24 hours of completing the registration or purchase.
Subject to the exceptions below, AICRO will provide a refund of the applicable registration fee paid.
The 24-hour cancellation option does not apply where:
- the Event or Workshop is scheduled to commence within 7 calendar days of the registration or purchase;
- the Event or Workshop has already commenced;
- the participant has already substantially accessed or received the relevant service, materials or benefit; or
- another exception permitted by applicable law applies.
Nothing in this clause limits any rights or remedies available under applicable law.
5. Cancellation After 24 Hours and At Least 7 Days Before Commencement
If more than 24 hours have passed since registration or purchase, but AICRO receives the cancellation request at least 7 calendar days before the scheduled commencement date, a cash refund will not ordinarily be provided for a change-of-mind cancellation.
Instead, subject to availability, the participant or payer may choose:
- an AICRO credit for the applicable registration amount paid; or
- transfer to another available session of the same Event or Workshop; or
- transfer to another eligible AICRO Event or Workshop.
Any AICRO credit will be subject to the validity period and other conditions communicated when the credit is issued.
6. Transfer or Rescheduling
Where a transfer request is received at least 7 calendar days before the scheduled commencement date, AICRO may transfer the registration to another available session or eligible Event or Workshop.
If the replacement Event or Workshop has a higher registration fee, the participant or payer must pay the difference before the transfer is confirmed.
If the replacement Event or Workshop has a lower registration fee, AICRO will advise how any difference will be treated.
Transfers are subject to availability and any applicable eligibility or participation requirements.
Repeated transfer or rescheduling requests may be declined or made subject to reasonable administrative conditions.
7. Cancellation Less Than 7 Days Before Commencement
Where AICRO receives a cancellation, transfer or rescheduling request less than 7 calendar days before the scheduled commencement date, the participant will ordinarily not be entitled to:
- a refund;
- an AICRO credit;
- a transfer; or
- rescheduling.
The applicable registration fee will ordinarily be forfeited.
This does not affect any rights or remedies that cannot lawfully be excluded.
8. Non-Attendance or No-Show
If a registered participant does not attend an Event or Workshop without providing sufficient notice in accordance with these Terms:
- no refund will ordinarily be provided;
- no AICRO credit will ordinarily be provided;
- the registration will not ordinarily be transferred or rescheduled; and
- the applicable registration fee will ordinarily be forfeited.
This also applies where a participant fails to join an online activity or otherwise does not participate for reasons outside AICRO's reasonable control.
9. Participant Substitution
Where a participant is unable to attend, AICRO may permit another person to attend in their place.
A substitution request should be provided to AICRO as soon as reasonably practicable before the Event or Workshop.
The replacement participant must satisfy any applicable eligibility, invitation, registration or participation requirements.
If the original participant received a discount or special rate for which the replacement participant is not eligible, AICRO may require payment of the difference.
Participant substitution may not be available for invitation-only Events, selected-participant activities or other activities where participation is specifically linked to the original registrant.
10. Exceptional Circumstances
AICRO may consider exceptions to the standard cancellation, transfer and refund arrangements in exceptional circumstances, acting reasonably.
A participant requesting an exception should contact AICRO as soon as reasonably practicable and may be asked to provide sufficient information to allow AICRO to assess the request.
Any exception will be considered on its individual circumstances and does not create an entitlement to the same exception in another case.
11. Group Registrations
Group registrations are subject to the group-pricing arrangements displayed by AICRO at the time of registration.
Unless otherwise stated, participants must be registered for the same scheduled Event or Workshop to qualify for the applicable group discount.
For AICRO Grant-Writing Workshops, the applicable group discounts are:
3–5 participants: 10% discount
6–10 participants: 15% discount
11–20 participants: 25% discount
21–40 participants: 40% discount
41+ participants: Contact AICRO
The applicable discount is calculated from the individual registration fee unless otherwise stated.
If participant numbers are subsequently reduced, AICRO may recalculate the total registration fee using the discount tier applicable to the revised number of participants.
Cancellation of individual participants within a group does not automatically entitle the payer to a proportional refund where the change affects the applicable group-discount tier.
Participant substitutions may be permitted in accordance with these Terms.
11A. AICRO Research Network Member Discount
Eligible AICRO Research Network members may receive a 20% discount on the standard individual registration fee for eligible AICRO Workshops and Events.
The member discount:
- applies only to Workshops and Events identified by AICRO as eligible for the member discount;
- is calculated on the standard individual registration fee excluding GST;
- is applied before GST is calculated;
- is available only to the eligible member for their own individual registration;
- is not transferable to another person;
- cannot be exchanged for cash or applied retrospectively to a completed registration;
- cannot be combined with a group registration discount, promotional code or other discount unless AICRO expressly states otherwise; and
- may require the participant's AICRO Research Network membership or eligibility to be verified at the time of registration.
Where more than one discount could apply to a registration, the participant may receive the single applicable discount that provides the greater reduction, unless AICRO expressly permits discounts to be combined.
AICRO may exclude particular Workshops, Events, customised organisation activities or other programs from the member discount where this is stated before registration.
AICRO may amend or withdraw the member-discount program for future registrations. Any change will not affect a member discount already validly applied to a confirmed registration.
12. Invitation-Only and Selected-Participant Events
Some AICRO Events may be invitation-only, capacity-limited or subject to participant selection or eligibility requirements.
Receiving an invitation, submitting an expression of interest, completing a registration form or making a payment does not guarantee participation where AICRO has expressly stated that attendance requires confirmation or approval.
Invitations are not transferable unless AICRO approves the transfer.
13. Cancellation by AICRO
AICRO may cancel an Event or Workshop where reasonably necessary, including because of:
- insufficient registrations;
- instructor, facilitator or speaker unavailability;
- venue unavailability;
- significant technical problems;
- health or safety considerations;
- government requirements;
- circumstances beyond AICRO's reasonable control; or
- another circumstance that makes delivery impracticable.
Where AICRO cancels an Event or Workshop before it commences and does not provide a suitable replacement or rescheduled session, participants who have paid the applicable registration fee will be offered:
- a refund of the applicable amount paid; or
- where agreed with the participant or payer, an AICRO credit or transfer.
14. Rescheduling by AICRO
AICRO may postpone or reschedule an Event or Workshop where reasonably necessary.
Registered participants will be notified using the contact information supplied during registration.
The participant's registration will ordinarily be transferred to the rescheduled date.
If a participant cannot reasonably attend the rescheduled date, AICRO will provide an appropriate option, which may include transfer, credit or refund, having regard to the circumstances and applicable law.
15. Changes to Instructors, Speakers or Program
AICRO may make reasonable changes to:
- instructors;
- facilitators;
- speakers;
- panellists;
- participating organisations;
- session order or timing;
- workshop activities;
- program content;
- materials;
- venue;
- online platform; or
- other operational arrangements.
A reasonable change that does not materially alter the overall nature of the Event or Workshop does not constitute cancellation and does not, by itself, entitle a participant to a refund.
Where AICRO makes a material change that substantially affects the Event or Workshop, AICRO will provide an appropriate remedy having regard to the circumstances and applicable law.
16. Changes to Delivery Format
AICRO may change an Event or Workshop between online, in-person or hybrid delivery where reasonably necessary.
Where a material change in delivery format means that a participant cannot reasonably participate, the participant should contact AICRO as soon as practicable.
AICRO will consider an appropriate transfer, credit or refund having regard to the nature and timing of the change and applicable law.
17. Online Events and Workshops
Participants attending online Events or Workshops are responsible for ensuring that they have suitable:
- internet access;
- computer or device;
- web browser;
- audio equipment;
- software; and
- access to the specified online platform.
AICRO will use reasonable efforts to provide access to the online activity and address technical issues within AICRO's reasonable control.
AICRO is not responsible for a participant's inability to participate because of the participant's internet connection, hardware, software, firewall, security settings, device configuration or another system outside AICRO's reasonable control.
18. In-Person Events and Workshops
Participants attending an in-person Event or Workshop are responsible for arriving at the specified venue at the required time.
Unless otherwise expressly agreed, participants are responsible for their own travel, accommodation, parking and other personal expenses associated with attendance.
AICRO is not responsible for such external expenses where a participant cancels or cannot attend, except to the extent required by law.
19. Event and Workshop Materials
AICRO may provide presentations, slides, templates, guides, exercises, documents, recordings, digital resources or other materials.
Unless otherwise stated, these materials are provided for the registered participant's personal or internal professional use.
Participants must not, without appropriate permission:
- reproduce or republish substantial materials;
- sell or commercially exploit them;
- publicly distribute or upload them;
- distribute them to unregistered persons;
- remove copyright or ownership notices; or
- use them in a manner that infringes intellectual property rights.
Intellectual property rights remain with AICRO, the instructor, speaker, author or other relevant rights holder, as applicable.
20. Recording by Participants
Participants must not record, livestream, photograph, screen-record or otherwise capture an Event or Workshop, instructor, speaker, participant or protected material without appropriate prior permission.
21. AICRO Photography and Recording
AICRO may photograph or record certain Events or Workshops for operational, educational, archival or promotional purposes.
Where appropriate, participants will be informed that photography or recording will occur.
Where consent is required, AICRO will seek that consent.
Personal information, photographs and recordings will be handled in accordance with AICRO's Privacy Policy and applicable law.
22. Participant Conduct
Participants must behave professionally and respectfully towards instructors, speakers, AICRO personnel and other participants.
AICRO may take reasonable action where a participant engages in harassment, bullying, discrimination, threatening or abusive behaviour, deliberate disruption, unlawful conduct, unauthorised recording or conduct that creates a material safety, privacy or security concern.
Where reasonably necessary, AICRO may remove a participant from an Event or Workshop.
Any entitlement to a refund, credit or other remedy will depend on the circumstances and applicable law.
23. Certificates of Completion
Where specified for a Workshop, AICRO may issue an AICRO Certificate of Completion to participants who satisfy the attendance or completion requirements specified for that Workshop.
A certificate may include the participant's name, Workshop title, Workshop date, instructor name, AICRO branding, authorised signatory, unique certificate number and verification information.
A Certificate of Completion confirms participation in or completion of the specified AICRO Workshop.
Unless expressly stated otherwise, an AICRO Certificate of Completion does not constitute an accredited qualification, academic award, professional licence or certification of professional competency.
AICRO may withhold a Certificate of Completion where the participant has not satisfied the stated attendance or completion requirements.
24. Customised Organisation Workshops and Private Events
Customised Organisation Workshops and privately commissioned Events are separately scoped services.
Submission of an enquiry does not confirm:
- a booking;
- instructor or speaker availability;
- scope;
- date;
- participant numbers; or
- price.
A booking becomes confirmed only after the applicable scope and commercial arrangements have been agreed and any required quotation, proposal, booking confirmation, agreement, deposit or payment has been accepted or completed.
Specific cancellation, rescheduling, participant-number, customisation, travel, venue and payment conditions may be included in the applicable quotation, proposal or agreement.
Where those specific terms conflict with this section, the specifically agreed terms will apply to the extent of the inconsistency.
25. AICRO Credits
Where an AICRO credit is issued, AICRO will communicate the applicable:
- credit value;
- validity or expiry period;
- eligible Events, Workshops or services; and
- any material restrictions or conditions.
Unless otherwise stated, AICRO credits are not redeemable for cash.
This does not affect any right to a monetary refund that exists under applicable law.
26. Refund Processing
Where a refund is approved or required, it will ordinarily be made to the original payer using the original payment method where reasonably practicable.
Processing times may depend on the payment provider, financial institution or payment method used.
27. Australian Consumer Law
Nothing in these Terms excludes, restricts or modifies any consumer guarantee, right, remedy or other protection that cannot lawfully be excluded, restricted or modified, including rights that may apply under the Australian Consumer Law.
Where applicable law requires AICRO to provide a refund, replacement, repeat service or another remedy, these Terms do not limit that entitlement.
28. Contacting AICRO
Cancellation, transfer, substitution, credit, refund or other registration requests should be submitted in writing to:
Australia–International Collaborative Research Organisation (AICRO)
Email: research@aicro.au
Please include your name, registration reference and the relevant Event or Workshop.
